2. Scope of This Privacy Policy

This Privacy Policy applies to personal information processed through or in connection with:

  • the Sindrax corporate website and online forms;
  • sales inquiries, quotations, demonstrations, and business communications;
  • trade shows, exhibitions, and other industry events;
  • marketing communications;
  • customer, distributor, supplier, and partner relationships;
  • Sindrax cloud-based platforms and management systems;
  • connected Sindrax products;
  • installation, maintenance, technical support, and remote support services;
  • PartyDrax and other services involving guest-submitted content;

Where a family entertainment center, venue operator, distributor, or other Sindrax customer independently determines why and how guest information is collected, that organization normally acts as the data controller or equivalent responsible organization, and its own privacy notice may also apply.

3. Our Role When Providing Services to Business Customers

Sindrax primarily provides products and services to businesses rather than directly to individual consumers.

For information Sindrax collects for its own business purposes, such as website inquiries, business contacts, marketing communications, contracts, and customer-support records, Sindrax generally determines the purposes of processing and acts as the data controller or equivalent responsible organization.

For personal information submitted, generated, or managed through a Sindrax product operated by a venue, such as PartyDrax guest content, the venue will normally determine the purpose of collection and Sindrax will normally process the information on behalf of that venue as a data processor or service provider.

In these situations:

  • the venue determines why guest information is collected;
  • Sindrax processes the information for the purpose of providing and supporting the relevant product or service;
  • Sindrax follows the customer’s applicable instructions;
  • Sindrax does not independently use the information for unrelated marketing purposes; and
  • appropriate data-processing terms may be incorporated into customer contracts or a separate Data Processing Addendum where required.

4. Personal Information We Collect

4.1 Website and Business Contact Information

When you contact Sindrax, request information, request a quotation, arrange a demonstration, meet us at a trade show, become a customer or partner, or otherwise communicate with us, we may collect information such as:

  • name;
  • company name;
  • job title or position;
  • business email address;
  • telephone number or messaging contact details;
  • country or region;
  • venue information;
  • project information and requirements;
  • product interests;
  • quotation and purchasing information;
  • correspondence with Sindrax; and
  • other information you choose to provide.

4.2 Website and Device Information

When you visit our website, we or our service providers may receive information such as:

  • IP address;
  • browser type;
  • device type;
  • operating system;
  • pages visited;
  • referring pages or sources;
  • date and time of access;
  • website interaction data;

4.3 Marketing Information

You may unsubscribe from marketing emails at any time using the unsubscribe function included in the relevant communication.

4.4 Customer Accounts, Connected Products and Support Data

Where a Sindrax product or cloud-based service includes account management, remote support, device management, or online services, we may process information such as:

  • account and administrator information;
  • authentication and access information;
  • user permissions;
  • venue information;
  • device identifiers or serial numbers;
  • product configuration;
  • software and firmware versions;
  • network and connectivity information;
  • system events and diagnostic logs;
  • software update status;
  • support requests;
  • maintenance records; and
  • records relating to remote technical support.

This information is used primarily to provide, maintain, secure, troubleshoot, and improve the relevant Sindrax product or service.

4.5 Product Usage and Operational Data

Certain Sindrax products generate operational information during normal use.

Depending on the product and configuration, this may include:

  • device status;
  • session timestamps;
  • game or content usage;
  • usage counts;
  • system performance information;
  • error reports;
  • configuration changes;
  • software update information; and
  • aggregated venue operating statistics.

Where reasonably possible, Sindrax seeks to use aggregated or non-identifying information for product analytics, diagnostics, and system improvement rather than information that directly identifies individual players.

5. PartyDrax and Guest-Submitted Content

PartyDrax allows venue operators to create and manage personalized party experiences and may allow authorized users to upload information for a specific party or event.

Depending on the venue’s configuration, PartyDrax may process information including:

  • guest or birthday child’s name;
  • age or birthday information;
  • photographs;
  • personalized messages;
  • event or party information;
  • selected themes; and
  • other content voluntarily provided for the party experience.

Adult Use Requirement

PartyDrax guest-upload functionality is intended for use by:

  • parents;
  • legal guardians;
  • adult guests; or
  • authorized venue staff.

It is not intended to be used directly by children to submit their own personal information.

A person submitting photographs, names, or other information relating to a child must have the authority or permission required under applicable law.

How Sindrax Uses PartyDrax Content

Where Sindrax processes PartyDrax guest content on behalf of a venue, we use that information only as reasonably necessary to:

  • create the requested personalized party experience;
  • display personalized party content;
  • manage the relevant party session;
  • operate the PartyDrax service;
  • provide technical support;
  • maintain service security and reliability; and
  • comply with applicable legal requirements.

Sindrax does not use PartyDrax guest-uploaded photographs, names, messages, or other personal content for unrelated advertising.

Sindrax does not use PartyDrax guest-uploaded personal information to train general-purpose AI models.

PartyDrax Data Location

For overseas customers, PartyDrax services are currently hosted primarily on cloud infrastructure located in Singapore.

Application and data services and photo/object-storage services may use different cloud infrastructure providers.

Authorized Sindrax technical personnel located in Hangzhou, China may remotely access relevant systems or information where reasonably necessary to provide:

  • technical support;
  • troubleshooting;
  • system maintenance;
  • security support; or
  • other contracted services.

Access is limited to personnel with a legitimate operational need and is subject to appropriate access controls and security measures.

Additional information about relevant cloud or infrastructure service providers may be made available to business customers where appropriate.

PartyDrax Data Retention

Guest-uploaded PartyDrax content is retained for no longer than 30 days after the relevant party or session, unless:

  • a longer period is required by applicable law;
  • temporary retention is reasonably necessary to investigate or resolve a technical, security, or customer-support issue; or
  • the information has been anonymized so that it can no longer reasonably identify an individual.

Venue operators are responsible for ensuring that their own collection and use of guest information complies with applicable privacy and data-protection requirements.

6. Camera, Computer Vision and Motion-Sensing Data

Certain Sindrax interactive entertainment products, including Quest Arena and other interactive game systems, use cameras, depth sensors, computer vision, motion tracking, or similar technologies to detect player actions and enable real-time interactive gameplay.

Depending on the product, these technologies may process information such as:

  • player position;
  • body movement;
  • pose or skeletal information;
  • interaction with the game environment; and
  • visual information required to generate the interactive experience.

Local Edge Processing by Default

For Sindrax interactive products using computer vision or motion tracking, visual processing is generally performed locally on the edge computer installed at the venue.

During standard gameplay:

  • visual information is processed locally in real time;
  • raw camera streams are not routinely uploaded to Sindrax cloud services;
  • visual information is used to enable interactive gameplay rather than to establish a player’s identity;
  • Sindrax does not use facial recognition to identify or authenticate players; and
  • Sindrax does not use player movement or pose information as a biometric identifier for the purpose of identifying or verifying an individual.

This section does not apply to optional photo or video sharing functions described below.

7. Optional Player Photos and Video Sharing

Certain Sindrax products may provide optional functions that allow players to receive photographs or video clips from their experience.

These functions are separate from the real-time computer vision processing used to operate the game.

7.1 Quest Arena

Where a venue enables the Quest Arena player experience sharing feature, photographs or video clips generated during gameplay may be uploaded to cloud infrastructure so that players can access and share their media, including through a QR-code-based experience.

Players are provided with a privacy notice when accessing the sharing function.

Media uploaded for this purpose is used only as reasonably necessary to:

  • provide the requested player sharing experience;
  • make the relevant photo or video available to the player;
  • operate and secure the sharing service; and
  • troubleshoot technical issues where necessary.

Quest Arena sharing media:

  • is not used for facial recognition;
  • is not used to identify or authenticate individual players;
  • is not used for unrelated advertising; and
  • is not used to train general-purpose AI models.

Quest Arena Sharing Media Retention

Photographs and video clips uploaded through the Quest Arena player sharing function are retained for no longer than 30 days after the relevant gameplay session.

After this period, the media is deleted unless temporary retention is required by law or is reasonably necessary to investigate a technical, security, or customer-support issue.

7.2 Other Products

Certain other Sindrax products may generate photographs or media locally as part of the entertainment experience.

For example, in certain configurations, Super Striker may generate player photographs that remain stored on the local venue device.

Such locally stored media is not routinely uploaded to Sindrax cloud services and is periodically cleared according to the relevant product and venue configuration.

8. Artificial Intelligence

Sindrax develops and uses artificial intelligence, computer vision, real-time 3D, and related technologies as part of its interactive entertainment products.

Sindrax does not use:

  • customer personal information;
  • PartyDrax guest-uploaded personal information;
  • identifiable player photos or videos; or
  • other customer or guest personal content

to train general-purpose AI models.

Sindrax also does not use facial recognition or identity-recognition technologies as part of the standard interactive gameplay described in this Privacy Policy.

We may use aggregated, anonymized, synthetic, test, or otherwise non-personal technical information to test, evaluate, maintain, and improve product performance.

9. How and Why We Use Personal Information

Depending on the circumstances, Sindrax may use personal information to:

  • respond to inquiries and requests;
  • prepare quotations, proposals, and project documentation;
  • communicate with customers, distributors, partners, and suppliers;
  • enter into and perform contracts;
  • deliver products and services;
  • administer customer accounts;
  • operate cloud-based services;
  • provide personalized experiences requested through our products;
  • provide installation and technical support;
  • perform remote diagnostics and maintenance;
  • provide software and product updates;
  • monitor product security and system reliability;
  • diagnose errors and technical problems;
  • manage customer and business relationships;
  • send permitted business and marketing communications;
  • measure website and marketing performance;
  • improve products and services;

Where laws such as the EU General Data Protection Regulation or UK GDPR apply, our legal basis for processing may include:

10. Children and Minors

Many Sindrax products are designed for entertainment venues that may be visited by children.

However, Sindrax’s corporate website, business services, administrative systems, and guest-content upload management functions are primarily intended for adults, venue operators, business customers, and authorized personnel.

Sindrax does not knowingly invite children to submit business contact information directly through its corporate website.

Where a Sindrax product processes information relating to a child, such as a PartyDrax photograph, name, age, or personalized party information:

  • the information should be submitted by a parent, legal guardian, adult guest, or authorized venue staff member;
  • the venue is responsible for determining whether parental or guardian authorization or consent is required;
  • Sindrax processes the information only for purposes necessary to provide the relevant service;
  • Sindrax applies additional care to information relating to children;
  • the information is not used for unrelated advertising; and
  • the information is not used to train general-purpose AI models.

Where applicable law establishes a particular age threshold, parental-consent requirement, or additional protection for children’s personal information, Sindrax and the relevant venue will apply those requirements according to their respective legal responsibilities.

11. Cookies, Analytics and Online Services

The Sindrax website uses or may use cookies and similar technologies to operate the website, understand website usage, measure marketing performance, and provide third-party functionality.

Services currently used may include:

  • Google Analytics for website analytics;
  • Google Ads Conversion Measurement for measuring advertising performance;
  • YouTube for embedded video content;
  • WhatsApp for communication links or functionality; and
  • technical services necessary for website operation and security.

Where required by applicable law, users are provided with appropriate choices regarding non-essential cookies and similar technologies.

12. How We Share Personal Information

Sindrax does not rent personal information to third parties as part of its business model.

Sindrax does not sell personal information for monetary consideration as part of its business model.

We may disclose personal information where reasonably necessary to categories of recipients including:

  • cloud hosting and infrastructure providers;
  • object-storage providers;
  • website hosting providers;
  • cybersecurity and technical service providers;
  • analytics and advertising measurement providers;
  • email and marketing service providers such as Mailchimp;
  • communications service providers;
  • authorized implementation, installation, or service partners;
  • Sindrax personnel responsible for project delivery, customer support, sales, administration, or system maintenance;
  • lawyers, accountants, auditors, insurers, and other professional advisers;
  • government authorities, regulators, courts, or law-enforcement authorities where disclosure is required by applicable law; and

Where those laws apply to Sindrax, we will provide applicable disclosures and privacy choices required by law.

13. International Data Processing and Transfers

Sindrax operates internationally and serves customers in multiple countries and regions.

Personal information may therefore be stored, processed, transferred, or remotely accessed outside the country or region where the relevant individual or customer is located.

In particular:

  • certain Sindrax cloud services for overseas customers, including PartyDrax, are hosted primarily using infrastructure located in Singapore;
  • authorized Sindrax personnel located in Hangzhou, China may remotely access relevant information where necessary to provide technical support, maintenance, troubleshooting, security, or other contracted services; and
  • third-party service providers may process information in countries or regions where they maintain infrastructure or personnel.

Privacy and data-protection laws may differ between jurisdictions.

Where applicable law requires particular safeguards for an international transfer of personal information, Sindrax will use appropriate contractual, organizational, or legally recognized transfer mechanisms.

Where Sindrax acts as a processor or service provider for a business customer, international data processing and transfers may also be governed by the applicable customer agreement or Data Processing Addendum.

14. Data Retention

Sindrax retains personal information only for as long as reasonably necessary for the purposes for which it was collected, subject to applicable legal, contractual, security, and operational requirements.

Different types of information may have different retention periods.

Business Information

Sales inquiries, quotations, contractual information, customer-support records, and related business records may be retained for the duration of the business relationship and for an appropriate period afterward where necessary for legal, accounting, contractual, support, or legitimate business purposes.

Marketing Information

Marketing contact information may be retained while a relevant business relationship or legitimate marketing purpose exists, subject to applicable law and the recipient’s right to unsubscribe or object.

Technical and Operational Information

Technical logs, diagnostic information, security information, system events, and operational records may be retained according to their troubleshooting, security, service, and operational purpose.

PartyDrax Guest Content

PartyDrax guest-uploaded personal content is retained for no longer than 30 days after the relevant party or session, subject only to the limited exceptions described in Section 5.

Quest Arena Sharing Content

Photographs and video clips uploaded through the Quest Arena player sharing function are retained for no longer than 30 days after the relevant gameplay session, subject only to the limited exceptions described in Section 7.

Locally Stored Product Media

Photos or other media stored only on a venue’s local equipment are cleared periodically according to the relevant product and venue configuration.

When information is no longer required, Sindrax takes appropriate steps to delete, anonymize, or otherwise securely dispose of it.

15. Data Security

Sindrax uses reasonable technical and organizational measures designed to protect personal information against:

  • unauthorized access;
  • accidental loss;
  • misuse;
  • unauthorized disclosure;
  • alteration; and
  • destruction.

Depending on the relevant product or system, these safeguards may include:

  • access controls;
  • user authentication;
  • role-based permissions;
  • network security controls;
  • system logging;
  • backup and recovery procedures;
  • restrictions on employee access; and
  • technical and organizational security procedures.

Access by Sindrax personnel is limited according to job responsibilities and legitimate operational or business requirements.

No method of electronic transmission or storage can be guaranteed to be completely secure. Sindrax therefore reviews and improves its safeguards in light of relevant technical and operational risks.

16. Your Privacy Rights

Depending on your location and applicable law, you may have rights regarding your personal information.

Sindrax uses AI, computer vision, motion tracking, and automated technologies to enable interactive entertainment experiences.

These systems may automatically detect and respond to player movement, actions, positioning, or game events in real time.

Sindrax does not use the standard interactive entertainment systems described in this Privacy Policy to make solely automated decisions about individuals that produce legal or similarly significant effects, such as decisions relating to:

  • employment;
  • credit;
  • insurance;
  • healthcare;
  • education admissions; or
  • access to essential services.
